Terms and Conditions

In effect from 21 September 2026. This is version 1.0.

These terms are the agreement between you and SAOFAL PRIVATE LIMITED for the use of BillMadi. By creating an account or using the app, you accept them. If you are accepting on behalf of a shop, a firm or a company, you confirm that you are authorised to bind it.

1. What BillMadi is

BillMadi is a sales book you run on a phone, a tablet or a computer. It records what you sell, adds up the money, keeps a day book, and prints or shares a bill. It runs in one of four modes, chosen when you set up your shop and changeable later: Button, Calculator, Cafe and Inventory.

BillMadi is a record-keeping tool. It is not accounting software, it is not a payment service, and it does not file returns for you. Nothing in the app is tax, legal or financial advice. You remain responsible for what you record and for meeting your own obligations under tax and other law.

2. Your account

An account is required to sell. You can sign in with a passkey on your device, with a phone number and a passcode, or with an email address and a password. You must give accurate details, keep your sign-in method to yourself, and tell us promptly if you believe someone else has reached your account.

You must be at least 18 years old to hold an account. BillMadi is built for business use and is not offered to children.

An owner can invite staff to a shop and give each person a role. You are responsible for what the people you invite do in your shop's account.

3. Working offline

Once you have signed in on a device, BillMadi keeps working without a connection. Sales are written to that device first and sent to us when a connection returns. This is a deliberate design: a shop should not stop selling because the network stopped. It also means that a device which is lost, wiped or cleared before it syncs can lose the sales held only on it. Keep a device you sell on in your own hands, and sync it when you can.

4. Plans and prices

Prices are shown in Indian rupees and exclude GST unless stated otherwise. The current monthly prices are: Button at Rs 30, Calculator at Rs 79, Cafe at Rs 199 and Inventory at Rs 249. Button includes 5 quick-tap buttons, and each additional button is Rs 5 per month, with the total for that plan never exceeding Rs 79 per month however many buttons you add. Paying for a year costs 10 per cent less than paying month by month, rounded to whole rupees.

Each plan also has a free level with limits on how many items you can record. The limits are shown in the app and on the pricing page, and they are counted by items sold rather than by bills, so keeping one bill open all day does not avoid them. We may change the limits and the prices. If a change raises what you pay, we will tell you at least 30 days beforehand, and you may cancel before it takes effect.

5. Paying

We do not yet take card or UPI payments inside the app. Paid plans are arranged with us directly and invoiced to you, and your plan starts once payment is received. You may cancel at any time; your plan then runs to the end of the period you have paid for and does not renew. We do not refund part of a period you have already started, except that if you cancel a first purchase within 7 days and have not used the paid plan beyond the free limits, we will refund it in full.

If payment for a renewal does not arrive, we will tell you and give you at least 14 days before the shop drops back to the free level. Your records are not deleted because a payment is late.

6. What you may not do

You may not use BillMadi to record transactions you know to be false, to produce a tax invoice for a supply that did not happen, or to hold out a business identity that is not yours. You may not try to reach another shop's data, work around the limits of your plan, take the service apart to rebuild it, or attack or overload it. We may suspend an account that does any of these, and we will tell you why.

7. Your records are yours

The sales, prices, products and customer details you enter belong to you. We store and process them to run the service for you and for nothing else. We do not sell them and we do not use them to advertise to you or to anyone. You can export your records from the app at any time, and we encourage you to keep your own backups.

8. Tax invoices

Cafe and Inventory modes can produce a GST invoice. Before you can issue one, you must complete your business profile with your legal name, address and GSTIN, because an invoice without them is not a valid tax invoice. We check that the GSTIN you enter is correctly formed, which is not the same as confirming that it is registered to you. The figures on an invoice are calculated from the rates you set on your own products. You are responsible for choosing the right rates and for the correctness of every invoice you issue.

9. Bills you share with a customer

When you share a bill by link or QR code, the contents of that bill travel inside the link itself and are not stored on our servers. Anyone holding the link can read that bill. Share it with the customer it belongs to.

10. Availability

We work to keep BillMadi available and we do not promise that it never stops. We may take it down for maintenance, and we will avoid business hours where we can. Because the app keeps selling offline, an interruption on our side should not stop you serving a customer.

11. Our responsibility, and its limits

We are responsible for providing the service with reasonable care and skill, and for the duties the law places on us that cannot be signed away. Nothing here limits our liability for fraud, for death or personal injury caused by our negligence, or for anything else the law does not permit us to limit.

Beyond that, we are not liable for business losses: profit you did not make, business you did not win, goodwill, or records you lost because they were held only on a device that was lost or wiped before syncing. Where we are liable, our total liability to you for all claims in any 12 month period is limited to the amount you paid us for BillMadi in that period, or Rs 1,000 if you are on a free plan.

12. Ending it

You can stop using BillMadi at any time and ask us to close your account. We may end this agreement by giving you 30 days notice, or immediately if you seriously or repeatedly break these terms. If we end it without your being at fault, we will refund the unused part of anything you have paid in advance. After closure, your records are handled as set out in the Privacy Policy, and you should export anything you want to keep before you ask us to close the account.

13. Changes to these terms

We may update these terms. If a change materially affects you, we will tell you in the app at least 30 days before it applies, and continuing to use BillMadi after that date means you accept it. Every version carries a number and a date, so you can see what changed and when.

14. Governing law

This agreement is governed by the laws of India. The courts at Kolar, Karnataka have exclusive jurisdiction, except that either of us may seek urgent relief from any court that has the power to grant it.
